When a customer is ready to pay, the cashier enters the phone number and amount on the POS. SmartLedger sends an STK Push request via Daraja API (Safaricom). The customer gets a prompt on their phone, enters their PIN, and payment is confirmed within seconds. The transaction is automatically recorded in the ledger and an eTIMS invoice is generated.

Yes. SmartLedger integrates directly with KRA's eTIMS system. Every sale generates a compliant tax invoice with a TIMS serial number, your KRA PIN, and a verification QR code. Invoices are submitted to KRA in real-time. We also handle credit notes, returns, and purchase invoices through eTIMS.

Every time a user logs in, after entering their username and password, they receive a one-time OTP via SMS on their registered phone number. They must enter this code to access the system. Admins also get SMS alerts when new users are created or when login attempts fail, so you're always aware of account activity.

Absolutely. You create users and assign them to specific branches. A cashier at your Nairobi branch only sees Nairobi data. A regional manager can see multiple branches. The admin sees everything. You control exactly who sees what, at a granular level.

SmartLedger works offline. Sales are recorded locally and sync automatically when connectivity returns. Note that STK Push and eTIMS submissions require internet — during outages, you can process cash sales offline and the system will handle M-Pesa and eTIMS submission once back online.

No. SmartLedger runs on any device with a web browser — laptop, tablet, or desktop. It works with standard receipt printers (ESC/POS compatible), barcode scanners, and cash drawers available in any Kenyan electronics shop. We can recommend affordable hardware if needed.
